The basics

What is a Sustainability Report

A Sustainability Report is the document in which a company reports its environmental, social and governance impacts in a structured way, following a recognised standard. It is not a list of good intentions: it is a set of measured, documented and verifiable indicators, organised according to a framework shared at European or international level.

ESRS · GRI · VSME

It is the tool a company uses to communicate its position on environmental, social and governance issues to customers, banks, partners, investors and employees.

The path

How do you prepare a sustainability report?

Preparing a sustainability report follows a structured path: from defining the scope and the topics to report, to collecting, analysing and organising ESG data, through to building the report according to the reference standard.

01

Defining the scope and choosing the team

The companies, activities and sites included in the reporting scope are defined, and the business functions to involve are identified. Roles and responsibilities are assigned from the start to make the information-gathering process clear and effective.

02

Choosing the reporting standard

Based on the company's characteristics, regulatory obligations and reporting goals, the most appropriate standard is identified, such as ESRS, VSME or GRI. The standard defines the structure of the path and the information to report.

03

Double materiality assessment

The most relevant sustainability topics are identified and assessed from two perspectives: the company's impacts on the environment and society, and the ESG risks and opportunities that may have financial effects on the business. The results set the reporting priorities.

04

Collecting ESG information

Quantitative data and qualitative information are collected from the different business functions, based on the requirements of the chosen reporting standard and on the ESG topics identified as material in the previous stages.

05

Harmonising the information

The collected data are checked, organised and made consistent across functions, companies and reporting periods. The harmonised information provides a solid, structured basis for drafting the sustainability report.

Strategic plan

What comes after the report?

The Sustainability Strategic Plan turns the findings of the report into a concrete improvement path: it sets goals and priorities, identifies the actions to take and builds a multi-year roadmap to improve ESG performance.

FAQ

Frequently asked questions

The questions companies ask us most often before starting the reporting process.

The obligation depends on the company's size, sector and corporate structure. Many companies that are not directly required still prepare a report because ESG information is requested by banks, large customers and supply-chain leaders. In the preliminary analysis we check your specific regulatory position and recommend the most suitable standard.
ESRS are the European standards linked to the CSRD and require the highest level of detail. GRI is the most widely used international voluntary standard, focused on impacts on stakeholders. VSME is the voluntary standard designed for unlisted SMEs, with a reduced and proportionate set of disclosures. The choice is made in the first stage of the path.
It depends on the chosen standard, the reporting scope and the availability of internal data. The first year is the most demanding, about 4-6 weeks, because it includes mapping roles and responsibilities; the following years build on the process already in place and require significantly less effort.

Green Future Project Group, through its ESG advisory team, supports companies in sustainability reporting from start to finish, from defining the scope to producing the final report. The support covers five phases:

  1. Scope and working team. We define the reporting scope and identify the people to involve in the project.
  2. Choice of standard. We select the reporting standard, ESRS, VSME or GRI, based on the company's priorities, needs, size and requirements.
  3. Double materiality assessment. We assess impact and financial materiality and summarise them in a double materiality matrix.
  4. Data collection. We collect the quantitative data and qualitative information needed to report on environmental, social and governance aspects.
  5. Harmonisation and report. We bring all the information together in a complete report, which can be customised to the brand identity so that it also tells the company's identity visually.
Green Future Project Group, through its ESG advisory team, supports Italian SMEs and companies in reporting under the CSRD, applying the ESRS standards and guiding them through the whole process, from scope to final report. For companies not subject to the obligation, support continues with voluntary standards such as VSME and GRI.
Green Future Project Group, with its dedicated ESG advisory team, supports companies throughout stakeholder engagement: targeted, active listening that identifies the most important areas to act on. The information gathered feeds into the sustainability report and becomes the basis of a strategic plan to improve the company's sustainability across all three dimensions: environmental, social and governance.
